General Terms & Conditions
By placing a reservation with Nashville Chauffeur, whether by telephone, email, online, or by any other method, you acknowledge and agree, without limitation or qualification, to the following Terms & Conditions.
By submitting a reservation, you expressly authorize Nashville Chauffeur to charge the credit card provided for all charges related to your reservation. A non-refundable, non-transferable deposit equal to 50% of the total reservation amount is required to confirm all bookings.
All services are subject to the terms outlined below.
Billing and Responsibility
Customers may be billed from the time the vehicle departs the Nashville Chauffeur facility until the time it returns, depending on the type of service reserved. Nashville Chauffeur shall not be held liable for delays, late arrivals, or service interruptions caused by circumstances beyond its reasonable control, including but not limited to acts of God, severe weather, traffic conditions, accidents, road closures, GPS or communication failures, incorrect pickup or drop-off information provided by the client, or unexpected mechanical issues. Nashville Chauffeur reserves the right to substitute vehicles when necessary due to unforeseen circumstances or vehicle breakdowns. Although such situations are rare, clients will be promptly notified and provided with any available substitute options for review and coordination.
Reservations and Confirmations
All new reservations and any changes to existing reservations must be made directly through our office and not through chauffeurs. A confirmation email will be sent to the email address provided at the time of booking. It is the client’s responsibility to carefully review the confirmation and notify Nashville Chauffeur of any errors or discrepancies.
Rates quoted at the time of booking are based on the information provided and may be subject to additional charges, including, but not limited to, wait time, parking, tolls, airport fees, taxes, holiday surcharges, special requests, and other applicable service-related charges. Once a reservation is finalized, the agreed base rate will remain in effect unless the itinerary, duration, vehicle type, or service requirements are changed.
Accepted forms of payment include ACH Wire transfer, Zelle, American Express, Discover, MasterCard, Visa, and cash with a valid credit card on file. Personal checks are not accepted.
Payment Terms
A 50% non-refundable, non-transferable deposit is required at the time of booking in order to secure the reservation. The remaining balance is generally charged 14 days prior to the scheduled service date. For reservations booked within 14 days of the service date, including same-day bookings, payment in full is required at the time of booking.
By booking with Nashville Chauffeur, the client authorizes all applicable charges related to the reservation to be billed to the credit card on file, including, but not limited to, service charges, overtime, wait time, damages, cleaning fees, tolls, parking, and any other applicable fees.
Cancellation & Deposit Policy
All deposits are strictly non-refundable and non-transferable. Any cancellation made less than fourteen (14) days before the scheduled service date will result in the full charge being applied. Cancellation requests must be submitted by email or by phone. No refunds will be granted for cancellations made within fourteen (14) days of the scheduled pickup date, including same-day bookings. Failure to appear for scheduled service will be considered a no-show and billed at the full service rate. In the event of a national emergency, global emergency, or severe weather emergency that requires cancellation or makes service impracticable, clients will have the option to receive either a refund or a credit toward future transportation services for up to twelve (12) months from the original service date.
Airport Pickups and Transfers
Flat-rate pricing may apply to select airport pickups and drop-offs within the Metro Nashville area. Airport transfers typically include 30 minutes of complimentary wait time within a standard one-hour service window. As long as the reservation is completed within that allotted service window, no additional waiting charges will apply. Any additional time beyond the included period may be billed at the applicable hourly rate in 15-minute increments.
When flight information is provided at the time of booking, Nashville Chauffeur will monitor incoming flights and adjust pickup timing accordingly. Early arrivals, delays, and schedule changes will be accommodated as operationally possible and subject to availability.
For arrivals at Nashville International Airport (BNA), clients are typically picked up at the designated Ground Transportation Center unless a pre-arranged Meet & Greet service has been scheduled. Meet & Greet service is available for an additional fee.
Point-to-Point Transfers
Point-to-point transfer rates apply to eligible trips within the Metro Nashville area and are generally available Monday through Thursday. These services typically include a limited grace period for wait time. If the service exceeds the included wait time or overall allotted service window, additional time may be billed at the applicable hourly rate.
For point-to-point and transfer reservations, additional stops are billed at $25.00 per stop for up to 15 minutes. If a stop exceeds the permitted time, the service may be converted to hourly service accordingly.
Hourly Service
Hourly service applies to reservations requiring multiple stops, extended waiting periods, or flexible itineraries. A four (4) hour minimum generally applies to hourly reservations, while coach and motor bus reservations require a five (5) hour minimum unless otherwise agreed in writing.
Travel time may be billed on a garage-to-garage basis, depending on the type of service and location.
Additional stops on hourly reservations are included at no extra charge; however, overtime and extended service beyond the scheduled reservation may be billed accordingly.
Meet & Greet Service
Meet & Greet service is available upon request for an additional $15.00. When arranged in advance, the chauffeur may meet the client inside the terminal or designated arrival area for a more personalized pickup experience.
Child Safety Seats
Infant seats, toddler seats, and booster seats are available upon request for an additional $25.00 per seat. Requests for child safety seats should be made in advance at the time of booking to ensure availability.
Passenger Conduct
Nashville Chauffeur reserves the right to refuse or terminate service to any passenger who is under the influence to the point of impairment, in possession of illegal substances, in possession of prohibited weapons, engaging in unsafe or disruptive behavior, or otherwise creating a risk to the chauffeur, vehicle, or other passengers.
Alcohol consumption by anyone under the age of 21 is strictly prohibited. Smoking, vaping, or the use of any tobacco or electronic smoking device inside the vehicle is strictly prohibited and will result in a minimum charge of $750.00, along with possible immediate termination of service without refund.
Excess Cleaning and Damages
Clients are financially responsible for any damage caused to the vehicle during the reservation period, including but not limited to spills, stains, burns, smoking damage, vomiting, broken glass, damaged upholstery, missing items, or any other excessive mess or damage requiring repair or specialized cleaning.
A minimum cleaning and/or damage fee of $250.00 will apply, with additional charges assessed if the actual cost of repair, cleaning, or loss exceeds that amount
Additional Charges
Additional charges may apply, including but not limited to:
- Wait time beyond the included service window
- Additional stops
- Parking fees
- Tolls
- Airport fees
- Holiday surcharges
- Requested amenities
- Cleaning or damage fees
- Overtime or itinerary changes
- Meet & Greet service
- Child safety seats
A 3% processing and administrative fee applies to applicable transactions.
Holiday Surcharge
A $25.00 per hour holiday surcharge applies on the following holidays:
- New Year’s Day
- Easter Sunday
- Memorial Day
- Independence Day
- Labor Day
- Thanksgiving Day
- Christmas Eve after 6:00 PM
- Christmas Day
- New Year’s Eve after 6:00 PM
Chauffeur Accommodations
For overnight or extended out-of-town travel, the client is responsible for providing or covering reasonable lodging and meal accommodations for the chauffeur, unless otherwise agreed in writing.
Receipts and Communication
Receipts are automatically emailed to the address provided at the time of reservation. Clients may also request that a receipt be sent to a different email address.
Chauffeur contact information is generally sent to the phone number on file prior to service, and chauffeurs may also contact clients before the scheduled pickup to confirm service details.
Acceptance of Terms
By reserving or using services provided by Nashville Chauffeur, the client acknowledges and agrees to these Terms & Conditions and authorizes Nashville Chauffeur to charge the credit card on file for all applicable reservation charges, service fees, damages, and other authorized costs.
Nashville Chauffeur reserves the right to modify, update, or amend these Terms & Conditions at any time without prior notice. Any matters not specifically addressed herein shall remain subject to the sole discretion of Nashville Chauffeur.
