Terms & Conditions

By placing a reservation with Nashville Chauffeur, either by telephone, email, online, or in any other manner, you accept and agree, without limitation or qualification, to the following Terms and Conditions.

You further expressly authorize Nashville Chauffeur to charge your credit card in full for all charges relating to your reservation.

Nashville Chauffeur requires a non-refundable 50% deposit to finalize all reservations.
*ALL DEPOSITS ARE NON-REFUNDABLE AND NON-TRANSFERABLE.*

Customers are billed from the time the vehicle leaves the Nashville Chauffeur facility, until the time they return to the Nashville Chauffeur facility. Nashville Chauffeur Inc. shall not be held responsible for late arrivals caused by, but not limited to, acts of God/nature, incorrect pickup or drop off information provided by the customer, or any situation out of our control, (such as loss of GPS due to poor cell phone reception outside of  metropolitan areas, bad weather, accidents, traffic or vehicle malfunctions) We reserve the right to switch vehicles before a run based on availability without prior notice if a vehicle that was previously requested is unavailable or there is a risk of a driver not making it on time for a pick up. Nashville Chauffeur,  is not liable in the event of mechanical breakdowns while on charter and will only be responsible for making up lost time at a mutually agreed date.

 

 

RESERVATIONS AND CONFIRMATIONS

ALL NEW RESERVATIONS, AND CHANGES TO CURRENT ONES, MUST BE MADE DIRECTLY WITH OUR OFFICE, AND NOT WITH THE DRIVERS.

A confirmation email is generated by the computer system, and sent to the email provided by the customer.

It is the customer’s responsibility to review the confirmation information for accuracy.

The rate provided at the time of booking is an initial estimate of the cost of service as reserved. Wait time, parking, or other additional services may change your rate. Applicable taxes will be charged as required. The standard gratuity rate of 20% will be included in your rate quote when you make your reservation. Gratuities/fees/surcharges are calculated on the base fare, stop time, wait time, drive time, and any holiday surcharges will be added to the final total.

Reservations are billed directly to the customer’s credit card provided at the time of booking.

The price is fixed once the reservation has been finalized. Early dismissal, downsizing, or shortening of rental hours, will not adjust the price.

Nashville Chauffeur accepts the following methods of payment:

American Express, Discover, MasterCard, Visa, Cash (Must have a credit card on file)

No personal checks accepted. DO NOT pay cash to the driver for your reservation, unless you have spoken to our office, or the cash payment has been already pre-arranged at the time of booking.

Any published rates are subject to change without notice. Current rates are confirmed at the time a reservation is made. All rates are calculated in the local currency and billed in U.S. dollars at the prevailing exchange rate. Due to fluctuation in currency exchange rates, all US dollar equivalents of international rates may vary. Customers are billed from the time the vehicle leaves the NC facility until the time it returns to the NC facility. All Reservations that are billed on an hourly basis will be billed a minimum of thirty minutes travel time each way if outside of the Metro Nashville area.

AIRPORT PICKUPS & TRANSFERS

Nashville Chauffeur provides a flat rate for most domestic commercial airport pickups and drop-offs to or from BNA in the immediate Metro Nashville area.  The commercial airport transfer rate is based upon a pickup and drop-off without any associated delay or waiting time exceeding THIRTY (30) minutes. Your vehicle is dispatched according to the flight’s estimated time of arrival as provided to Nashville Chauffeur by the customer. Nashville Chauffeur is able to monitor all commercial flights. In the event that a flight is delayed, or arrives early we will do our best to accommodate the change, but we may not be held responsible if we’re unable to accommodate due to other clients being booked prior to or after the said time. Billing shall revert to the prevailing hourly rate in the event the flight is delayed, or the waiting time is exceeded, beyond the allotted THIRTY (30) minutes.  Rates and terms may be different for private FBO’s.

POINT-TO-POINT TRANSFERS

Nashville Chauffeur may provide point-to-point transfer rates for local pickups and drop offs within the immediate Metro Nashville service area.  Wait time beyond the fifteen (15) minute “grace” period as well as for extra stops or indirect routing are charged additional, or charges may revert to the prevailing hourly rate. Transfer rates are a function of time, distance and zone locations.

POINT TO POINT TRANSFERS ARE ONLY OFFERED MONDAY-THURSDAY.

HOURLY SERVICE

Nashville Chauffeur provides an hourly rate for all other services based on a three (3) hour or more minimum charge.  Hourly or “As Directed” services allow for multiple stops and wait time as directed by the client.  Vehicle will stay with the client or at their stop locations (as parking availability allows) for the entire rental time.  Travel time may be charged on a “garage-to-garage” basis and is made a part of the respective hourly minimums. THERE IS A 3 HOUR MINIMUM FRIDAY-SUNDAY.

CANCELLATIONS AND CHANGES

*ALL DEPOSITS ARE NON-REFUNDABLE AND NON-TRANSFERABLE.*

Any cancellation made less than 14 days before the date of service, will incur the entire (100%) charge of the event to the credit card on file. Cancellations must be done by emailing contact@nashvillechauffeur.com 14 days prior to your reservation date. NO refunds will be given if cancellation of service occurs within 14 days of the expected pickup date. This includes reservations made within 14 days or less of the expected service date. A client who refuses service, or who does not appear at the designated pick up location will incur the full rate of service.  A trip cancelled by the client, or a third party on his/her behalf after the vehicle has been dispatched will incur the full rate of service expected in accordance with the service to be rendered. Proof of cancellation requires the provision of a valid cancellation email from Nashville Chauffeur Inc. In the event of a National or Global crisis, which requires mandatory cancellations, any money paid will be held as a credit for up to 12 months if an immediate reschedule is not possible.

SPECIAL EVENTS & PEAK DEMAND RENTAL TIMES

Special events and peak demand periods both locally and in other markets may dictate premium pricing, higher hourly minimums and in some cases multi-day minimums, additional notice for changes and cancellations. Vehicles are generally in more limited supply for the higher demand and oftentimes supplemental vehicles are required to accommodate this demand.

NO SHOWS

A no show fee equal to the trip cost plus applicable waiting time, tolls, parking, gratuity, and processing fees will be charged when the passenger fails to show at the designated location for which a reservation has been made. If a passenger does not see his/her driver, he/she MUST call our office to locate the driver instead of arranging alternate transportation immediately.

ARRIVAL TIME

Nashville Chauffeur and its chauffeurs always prepare in advance to avoid unnecessary delays in arrival time. However road, traffic and weather conditions are oftentimes beyond the reasonable control of the company and/or the chauffeur.  No refunds can be given as a result of late arrivals due to such conditions or other occurrences out of the reasonable control of the company or chauffeur. We will try our very best to not have to change vehicles. We reserve the right to change vehicles before a run based on availability without prior notice, if a vehicle that was previously requested is unavailable or if there is a risk of a chauffeur not making it on time for a pickup. Nashville Chauffeur is not liable in the event of mechanical breakdowns while on charter and will only be responsible for making up lost time at a mutually agreed date.

PERSONAL PROPERTY

Nashville Chauffeur is not responsible for any personal property left in the vehicle during or after the rental period.

PASSENGER CONDUCT

Nashville Chauffeur reserves the right to refuse to transport persons under the influence or in possession of illegal drugs, as well as those excessively intoxicated, in the possession of firearms or dangerous substances of any kind, or who are, or are likely to become objectionable to other persons or if the chauffeur feels threatened in any way. Under no circumstances is anyone under the age of 21 permitted to consume alcohol. Violation will result in early termination of service with NO refunds. Smoking of any kind in all vehicles is strictly prohibited.  Smoking and Vaping in the vehicle by the client or any passengers will result in an automatic $250 minimum charge, and may result in early termination of service with NO refund. Loading vehicles beyond the maximum capacity is NOT permitted. By accepting services offered by Nashville Chauffeur, you forfeit your right to dispute the charges via your credit card company for rides terminated due to any prohibited actions & behavior described in these terms and conditions.

EXCESS CLEANING/DAMAGE

Customers are responsible for his/her guest and for any and all damage to the interior, exterior or equipment in or on the vehicle. This includes but is not limited to: gum, wine, alcohol spillage, smoking, vomit, broken glassware, decanters, lights, TVs, gaming systems, electronics, excessive trash etc.  The client assumes full financial liability for any damage to the limousine caused during the duration of the rental period by them or any members of their party.

If, during or after the transportation service, the company is required to expend an extended amount of time and materials to clean the vehicle due to acts of the client or any passengers the company, at its discretion, will charge client additional fees to cover such expense. Excessive cleaning and damage to the vehicle in any way caused by actions of the client or any passengers will be charged a minimum of $250.

WAIT TIME (Airport & Point-to-Point Transfers)

For airport arrivals, Nashville Chauffeur offers a 30-minute grace period from the updated arrival time.  Thereafter, wait time will be charged in ¼ hour increments for each additional 15 minute period. Wait time past 30 minutes will revert the trip to hourly minimum pricing.

ADDITIONAL STOPS (Airport & Point-to-Point Transfers)

Extra stops, including extra airline stops are charged a minimum $25 per “en-route” stop and include a maximum 15 minute wait period at the stop.  Additional wait time is charged at the prevailing hourly rate in quarter hour increments.

ADMIN/PROCESSING FEE

A 3% Processing/Administrative Fee calculated on the base fare, stop charges and wait time, will be added to your bill.

ADDITIONAL CHARGES

Additional charges include reimbursement for tolls, parking and airport, licensing and event fees, and for client requested incidentals and amenities.

HOLIDAYS

An additional $25.00 per hour U.S. holiday surcharge will be charged to all trips occurring on:

New Year’s Day

Easter Sunday

Memorial Day

Fourth of July

Labor Day

Thanksgiving Day

Christmas Eve after 6 pm

Christmas Day

New Year’s Eve after 6 pm

EVENT SERVICES

All Event Services vehicle types will be billed at the prevailing NC hourly rate.

Customers are billed from the time the vehicles leave the NC facility until the time they return to the NC facility. All Reservations that are billed on an hourly basis will be billed a minimum of thirty minutes travel time each way if outside of the Metro Nashville area.

Fractions of an hour are rounded to the next half-hour.

CHAUFFEUR ACCOMMODATIONS

On occasions that require overnight travel for chauffeurs, lodging and meals will be provided for by the client, and charged to the total trip charge.  A per diem may be applied in addition to lodging expenses.

CONTRACT OBLIGATIONS

You acknowledge that you have read our terms and conditions listed above and you are the authorized purchaser for this rental agreement, the authorized cardholder for the given credit card and/or responsible party liable for payment of the total amount due. No personal checks accepted. By accepting services offered by Nashville Chauffeur Inc, you forfeit your right to dispute the charges via your credit card company or bank for services rendered and/or for any violations listed based on the terms listed in the TERMS AND CONDITIONS. I understand and agree to pay for any and all damages my party may cause NC. I also agree to the above Terms and Conditions. I understand and agree to pay the deposit and/or full rate of service based on the terms of the cancellation policy. NC reserves the right to charge the full amount 14 hours prior to the date of service. By agreeing to these terms and conditions, signing and providing your credit card or bank information, you are authorizing NC to charge your credit card for any of the following charges: 50% non refundable deposit, all services rendered, and any damages done to the vehicle. Any overtime hours or fees as a result of damage to the vehicle will be calculated and billed within 24 hours of the completion of the service.

 

NASHVILLE CHAUFFEUR RESERVES THE RIGHT TO CHANGE ITS TERMS AND CONDITIONS AT ANY TIME WITHOUT GIVING PRIOR NOTICE. ANY TERMS AND CONDITIONS NOT INCLUDED ON THIS PAGE ARE SUBJECT TO THE SOLE DISCRETION OF NASHVILLE CHAUFFEUR.
